Guidelines for hosting Tournaments

Please remember at times there may be some extenuating circumstances
which may require some adjustment to these policies and procedures..
please use your best judgment. 
Remember, we are here for the MEMBERS !!

***If you want EASY...don't become a TD***

Tourneys:

Do NOT hold up your tourney for the previous tourney to finish...if you are running two (2) in a row and running late.....please ask another TD, HTD or Admin to either start your next tourney or watch the tables for you so you can start next tourney. 

Please make all tourneys seeded by either registration number or random seeding......

When another TD is hosting a tourney please try not to assist too much with pairings as this can get rather confusing in the lobby for all involved.  However, if you need help please feel free to ask another TD for assistance.

If you see another TD may need help please IM them and offer suggestions or assistance but never, under any circumstances, should another TD take over in the lobby or in a game.  Doing so is disrespectful for the TD hosting and can make that TD appear incapable in the eyes of the members.

Please start your tourney by 10 minutes after start time.....however, also please use your best judgment with this as there are, at times, extenuating circumstances. 

NEVER start a tourney until auto teams are even.....

Be in the room no less than 30 minutes prior to start time to begin advertising your tourney and assisting with pairing up teams.  Please do not begin advertising for your tourney more than thirty minutes prior to start time.
Only exception would be a Special Tourney which may be spammed one hour prior.  Spams should be kept to a few lines and not be repeatedly excessively that would interfere with previous TDs tourney calling games or winners or other TDs hosting a tourney.

If you make a tourney and find you can not be there...please try to find someone to cover for you ...or see if you can temporarily switch times with another TD.  Please try to allow enough time to fill this spot for you.

Do NOT, under any circumstances, move a tourney once a player has registered into it.  If you can not run it due to not enough players then DELETE it.  DO NOT just move it.  It must be deleted. 

When you call pairings give the current time in the lobby and give the teams 3 minutes to make the tables.  If after 2 minutes and no table give a second call with 1 minute or pairings will be flipped. If the lobby is overly congested it's possible the first calling went unseen.

Please call all of round 1 games and get them started then immediately call those round 2 games that can be played.  We don't want members sitting and waiting for their game if they can be playing.

As the td you may not get into the next tourney until your tourney is in finals...this is the same as for all members.

SAMEHOUSE/INELIGIBLE PARTNERS LIST

The link to the list of ineligible partners is on the main league page...please check this page from time to time to make sure you keep updated on those unable to partner.

Procedure for ineligible partners:

Auto - They should not enter a tourney on auto one after the other as the system pairs autos up as they join the tour.  Please make sure someone joins between them to avoid them pairing.  If by chance it isn't caught and they do end up partnered...they may NOT play together...a sub will be used.

Random Tours - This is the only time that they may partner IF the system pairs them up...this is probably unlikely to happen but it does on occasion. 

1 VS 1'S Tourneys:

No 1 vs 1's are to be hosted between the hours of 8 AM and 12 AM midnight, with the exception of one handed roulettes which may be hosted anytime.  Please make sure you are knowledgeable in running 1 vs 1's as the pairings can be confusing and must be called correctly.  For assistance we have a series of "training" pages and images for you in the TD Center.  If you aren't comfortable hosting 1 vs 1's then please don't attempt to host them. 

This does not include bot 1 vs 1's which can be hosted anytime.

TD's getting into their own tours:

Roulettes - TD's may get into their own roulettes with no restrictions.

Other Tours - Only as an extreme LAST RESORT may a td get into their own tours.  Getting into your own tour is for the soul purpose of not having to drop a member.  TD's should be the last to get in and only to make the tour even so it can be started no later than 10 minutes after start time. 

Please note a td should never get into their own tour prior to 5 minutes after start time.

Subs

Chances are good that you will require a sub or two to complete your tour.  Any league member can sub for a mia member however, there is a specific "order" in which a sub is chosen:

1.  First choice sub would be a member not in your tour OR a member who was in the tour but has played and been eliminated!  If two are available then the team member must choose between the two...etccc
2.  Second choice for a sub would be a member in the tour but on a bye provided they do NOT play the winners of that table.
3.  As a last resort you, as the td, may sub, however as with any member you may sub at just one table at a time.
4.  If none of the above works then the table that needs a sub can wait until a sub does become available.  We do NOT DQ a team for lack of an available sub.

Subs can NOT make a table as they are not a "legal team member"...the remaining official team member must make the table.  If there is a problem the td may make the table giving the team member choice of seats.

Note:  Please remember the choice of a sub is always the players.

Double Elimination Tournaments:

A new table MUST be made for every game.  On occasion the finals game in a double elimination tour will require a second game to determine the winner....always have a new table made for the second game.

MIA players:  If a team times out on their first game (5 minutes for one or the other player to return) they are dq'd from that game however, they may play their second or bottom bracket game provided they are in the lobby at the time that second game is called... they will be given 2 minutes and must be at the table and ready to play or they are dq'd from the remainder of the tourney.

All double elimination tours will be 6/20/500.

Swiss Tournaments:

Swiss tournaments will be 8/30/500 and limited to 3 rounds
Contrary to our rules, during a swiss tour the td may use the room message near the end of round one and round two, to announce and remind all players that they will play all rounds, win or lose, and they should not leave if they lose.

Example:  "Do not leave if you lose, you play all rounds win or lose"

Tourney Rules:

Format for our tourneys is:  The specific game you are playing rules should be on the main tourney page (Customize Tourney Layout) and the League Specific Rules for all Tourneys on the tourney rules page (Customize Tourney Rules) ..copy and paste codes can be found in the TD Help Center.  If you need assistance please ask.

Games:

We ask that the  12 PM, 4 PM, 8 PM and 10 PM always be some form of regular spades (which does NOT include suicide).....for other tour times please review the list of games on the Copy/Paste section of the TD Center.

Please keep your game choice limited to the games you find in our TD Help Center where you will find all the copy and paste codes for them.

When you call a game for time .... try to give at least a few minutes warning....such as: 10 minutes left or "you have 5 minutes left on game timer.".  When game time is up....inform them of this and allow them to finish the hand.  A game is NEVER called during the middle of a hand.....it's always played out. It is best to call next hand is last hand to be fair.

A hand begins when the first bid is on the table.

Tour Times:

Even hour tours:  10 am, 12 pm, 2 pm, 4 pm, 6 pm, 8 pm and 10 pm.  Please make these tours 2 vs 2 and 10 hands. 

All odd hour tours:  Must be 5 hands or less--in some instances the type of game requires an even number of hands to be fair to both teams in which case 6 hands should be set.  For these games there is a note at the top of the game rules page.

We really prefer the even hour tours are filled first and then odd hour tours after that.

Making Tours and requesting time slots:

We ask that you take at least one regular tour time slot per week, if at all possible.  Please talk to the TD Manager or Head Admin about getting your name on the master schedule shown near the bottom of our main league page on the "Tournaments Tab."

If you have a regular time slot we ask that you make your tourney at least 3-7 days in advance.  Please do not take another TD's reserved time slot more than 48 hours in advance.  Check the master schedule on the tournaments tab page for reserved time slots.

Any open tourney slots are free for any TD to make a tour up to 48 hours prior. 

Any time slot not reserved to another td can be taken up to 7 days in advance.  Again, check the main page for reserved time slots.

Boxing:

As a TD, you do have the authority to box if needed.....please get a screen shot for backup (a picture is worth a thousand words) and contact an admin asap to do the actual box for you.  Please click here for our boxing procedure and league statement.  The TD's name will appear along with the admin doing the boxing.  As the td requesting the box it will be your responsibility to inform the member of the box and the reason.  Please ask the admin for the members email at the time you request the box.

TD Policy:

We do have a very detailed TD Policy and follow it to the letter......please make sure you are familiar with it so you don't lose your TD status.  If you have any questions or requests please contact our TD Manager......which you can find listed on the main league page under "Who Do I Contact..

Tourney Page Images:

It is NOT a requirement that you decorate your tourney pages! 

Our Admin team does not wish to resort to "censoring" images the TD uses for decorating tourney pages.  Please use good judgment in your choice of images as some may be offended.  If this becomes a problem we will address it with the individual TD.
